On May 5, 2025, Microsoft is making changes to emails. This will affect people who send lots of emails from outlook.com, hotmail.com, and live.com. These new rules could change how you send emails for your small business.
Here are the six big changes you need to know about:
Real Email Addresses Only: You can't use fake "do-not-reply" addresses anymore. You must use a real email address that someone checks.
Easy Way to Stop Emails: People must be able to stop getting your emails with just one click. You have two days to take them off your list.
Share Your Real Address: You must put your real mailing address in all your emails. This shows people you're a real business.
Handle Problems Quickly: If someone says your email is spam, you need to fix it in two days. Keep complaints under 0.3% to stay in good standing.
Clean Up Your Email List: You need to remove emails that don't work anymore. Also remove people who get the same email twice.
Keep Emails Safe: You need to use something called "TLS encryption" (version 1.2 or higher) to keep emails safe.
Microsoft isn't the first to make these rules. Google and Yahoo already have similar rules. These changes might seem hard at first, but they can help you build better relationships with your customers.
